How your business profile powers the agents
Why keeping your profile, fleet, policies, and hours accurate makes the agents accurate.
Your agents do not guess. Everything they say comes from the business details you save in the dashboard. When you keep your profile, fleet, policies, and hours accurate, your agents are accurate. When that information is out of date, they repeat it.
This page explains the connection so you know exactly what to keep current and why it matters.
One source of truth, two agents
MAZZA reads your saved business information and turns it into a short briefing that both agents carry into every conversation. We call it the business brief. It is built automatically from what you enter on your Business profile, your fleet and catalog, your policies, and your promotions.
The same brief powers both of your agents, so a price or rule you fix in one place is fixed everywhere at once.
What goes into the brief
When you save your business details, MAZZA pulls these into the brief the agents read:
| Field | Description |
|---|---|
| Fleet and catalogYou control | Your active vehicles or items: make, model, year, class, transmission, features, and daily, weekly, and monthly rates. |
| Operating hoursYou control | Your open and close times for each day, plus any hours notes you add. |
| Driver and rental policiesYou control | Minimum driver age, minimum license experience, accepted license countries, and any extra driver requirements. |
| Deposit and paymentYou control | Your default deposit and the payment methods you accept. |
| DeliveryYou control | Whether you deliver, the areas you cover, and any delivery fee. |
| Fees and rulesYou control | Cancellation policy, fuel policy, extra fees, and house rules like smoking or pets. |
| PromotionsYou control | Active discounts, so the agents quote the right price. |
| Custom data tablesOptional | Any Collection you mark as agent-visible, so the agents can read it during a chat. |
You enter all of this under Business in the dashboard, across the Fleet, Policies, and Collections tabs.
The agents still check live details
The brief gives each agent baseline awareness so it speaks naturally about what you offer. For exact pricing and real-time availability, the agent looks up your fleet and policies live during the conversation. That means a car you just marked unavailable will not be offered, even between syncs.
Changes sync automatically
You do not press a button to update your agents. Whenever you add, edit, or remove a vehicle, save your policies, or change a promotion, MAZZA re-syncs both agents in the background.
You save a change
Update a rate, a policy, or your hours under Business, then save.
MAZZA rebuilds the brief
The brief is rebuilt from your latest saved data, with no extra step from you.
Both agents update
The voice and WhatsApp agents start using the new information for the next conversation.
Usually within moments
Syncs run automatically and normally take only a few moments. Your Business page shows the sync status, so you can confirm a change went through.
Garbage in, garbage out
This is the one rule to remember. Your agents are only as accurate as the details you save.
- If a daily rate is outdated, the agent quotes the old price.
- If your hours are wrong, the agent gives the wrong hours.
- If a policy changed but the dashboard did not, the agent states the old policy.
The fix is simple: keep your fleet, prices, policies, and hours current. A few minutes of upkeep keeps every call and chat correct.
Review before busy periods
Before a holiday, a price change, or a new promotion, do a quick pass over your fleet rates, operating hours, and policies. The agents will repeat whatever is saved, so a quick review prevents wrong quotes.
What is not in the brief
The brief covers what your agents need to answer customers. Things you set up elsewhere, such as the agent's voice, script, or language, are configured separately. See Configuring your agent for the voice side and The WhatsApp AI agent for WhatsApp.
Frequently asked questions
Do I have to update each agent separately?
No. You update your business details once and both agents pick up the change automatically.
How long until a change goes live?
Usually within moments. Your Business page shows the sync status so you can confirm it went through.
Will the agent quote a price for a car I deleted?
No. Deleted vehicles are hidden from both agents right away, and the agent checks live availability before confirming.
The agent gave a wrong price. What happened?
Almost always, the price saved in your fleet is out of date. Update the rate under Business, save, and the agents correct themselves on the next conversation. If it still happens, contact your account manager.
